What Sage Brief does, who it is for, and how to begin.

What is Sage Brief?

Sage Brief turns a creative request into a structured brief. A signed in requester can speak, chat, add source files, or enter details. Sage asks useful follow up questions, keeps unknowns visible, and brings scope, context, deliverables, timing, and specs into one place for review.

Who is Sage Brief for?

Sage Brief is made for creative producers, creative operations teams, project managers, in-house creative teams, marketers, and freelancers who need a more complete request before the work begins.

Is Sage Brief a project management tool?

No. Sage Brief handles intake and brief preparation. Once the brief is ready, it can be handed off to a configured project destination while your team continues to manage production in the tool it already uses.

How do I create a workspace?

Choose Create your workspace and follow the setup steps. You will name the workspace and choose a Workspace ID that your team can use when joining or signing in.

How do I join an existing workspace?

Open the invitation sent by your workspace admin, or choose Join a workspace and enter the Workspace ID your team shared. Use the same email address that received the invitation.

Where do I find my Workspace ID?

Open Settings, then Workspace. The Workspace ID appears beside the workspace name and can be copied from that page. If you cannot sign in, ask a workspace admin to share it again.

Requests and briefs

Intake links, request methods, source files, and review.

Do requesters need a Sage Brief account?

Not always. If Require login to submit a request is off, anyone with the intake link can submit after providing a name and email address. If the setting is on, only signed in workspace members can submit.

How can a signed in member start a request?

Choose New request, then start with Voice, Chat, Files, or Enter details manually. All four methods build the same draft, so the requester can begin with the material they already have.

How does Voice work?

Choose Voice, allow microphone access, and explain the request naturally. Sage transcribes the recording into the draft for review, so the requester can start by talking instead of translating the idea into a set of fields.

How does Chat work?

Choose Chat and tell Sage what you need. Sage asks one question at a time and adds each answer to the shared draft. You can answer, choose I don’t know yet, or skip a question for now. Nothing is submitted until you review the brief.

What files can Sage read?

Sage can read PDFs, PowerPoint files in .pptx format, and Google Docs you explicitly select. A brief can include up to five source files, with file uploads up to 20 MB each and 50 MB total. Password protected files, older .ppt files, and macro enabled PowerPoint files are not supported.

What happens when the requester does not know an answer?

They should not guess. In Chat, they can choose I don’t know yet or Skip for now. During source review, they can leave a field unresolved. The open detail stays visible so the team can decide what needs a follow up.

Is anything submitted automatically?

No. Choose Review brief, check the summary and missing details, and make any edits before submitting. A person always makes the final submission.

Does Sage create the final design or copy?

No. Sage prepares the brief. Your designer, writer, producer, or creative team makes the work.

Smart Specs

Save production details once and bring them into future briefs.

What are Smart Specs?

Smart Specs are reusable production requirements for deliverables your team creates often. Save the size, format, and production notes once, then include them when that deliverable appears in a future request.

How do I add a Smart Spec?

Open Specs Library and choose New spec. Add a name, category, size, format, and any production notes you want requesters and the creative team to see. Only admins and managers with spec permission can create or edit entries.

How are saved specs used in a request?

When a requester selects a deliverable from the Specs Library, its saved requirements are included in the brief. The requester does not have to look up production details the team has already settled.

How does Sage recommend a new Smart Spec?

In Specs Library, choose Scan recent requests. When the same completed custom specs appear in at least three submitted requests, Sage can recommend a new library entry. Review and edit the suggestion before adding it, or dismiss it if the pattern is not useful.

Can managers edit the Specs Library?

An admin decides. In Settings, then Workspace, an admin can turn on Let managers manage the Specs Library. When it is off, managers can view the library but cannot change it.

Workspace and team

Roles, invitations, permissions, and workspace setup.

What do the workspace roles mean?

Administrators manage the workspace, permissions, members, and setup. Project Managers manage requests and workflows. Requesters can submit requests and view their own work. An admin can change a member’s role in Settings, then Workspace.

How do I invite someone?

Admins and Project Managers can open Settings, then Workspace, and choose Invite member. The person joins as a requester. An admin can change the role after the invitation is accepted.

What can an admin configure?

Admins can update the workspace name and logo, manage members and roles, edit request setup, manage the Specs Library, require sign in for intake, route new briefs to the shared Inbox, and configure workspace connections.

Who manages billing?

One active admin is the billing owner. The billing owner manages the plan, payment method, invoices, and cancellation from Plan & billing. Billing ownership can be transferred to another active admin.

Connections and handoff

Which project tools can Sage Brief connect to?

Workspace connections are available for Asana, ClickUp, monday.com, Trello, and Jira. Sage Brief can also create an editable Google Doc or export a brief as PDF or Markdown.

How do I connect a project tool?

A workspace admin opens Settings, then Connections. Connect the tool, choose the project, list, board, or other destination, and save it. Connecting a tool does not turn on automatic sending by itself.

How does Automatic next step work?

An admin can choose a configured project destination under Automatic next step. The brief is sent only when an admin or Project Manager hands it off. If no automatic destination is selected, the team chooses the destination at handoff.

Can Sage hand off a brief with missing details?

Missing details must be resolved or reviewed before handoff. Sage keeps those questions visible so the team can deal with them before the work lands in a project tool.

How do I export a brief without a project connection?

Open the brief and choose Export. You can copy the formatted brief, download a PDF, download Markdown, or create an editable Google Doc in your Drive.

Plans and billing

Trials, payment methods, invoices, cancellation, and refunds.

How does the free trial work?

Both paid plans include a seven day trial and require a payment method. Unless you cancel before the trial ends, the plan selected at checkout starts and Stripe charges the payment method on file.

How do I update my payment method or view invoices?

The billing owner opens Settings, then Plan & billing, and chooses Manage or cancel plan. Sage opens the Stripe billing portal, where the billing owner can manage the payment method and invoices.

How do I cancel?

The billing owner opens Settings, then Plan & billing, and chooses Manage or cancel plan. Cancel before the trial ends to avoid the first charge. A paid cancellation normally takes effect at the end of the current billing period.

How do I request a refund?

Email support@sagebriefapp.com with your workspace name, the email on the account, the charge date, the amount, and a short explanation. Refund requests are reviewed individually. Do not email your full card number.

Can I transfer billing ownership?

Yes. The current billing owner can transfer billing ownership to another active admin from Plan & billing. The new owner receives access to the plan, payment details, and invoices.

Privacy and security

Payment data, request content, source files, and account deletion.

Does Sage Brief store my full card number?

No. Stripe collects payment details directly during checkout. Sage Brief receives the subscription and billing records needed to manage your plan, but not your full card number.

How does Sage Brief use request content?

Sage Brief processes the content needed to transcribe voice, read selected files, organize the request, apply specs, and identify missing details. A person should review the brief before submitting, sharing, or relying on it. See the Privacy Policy and Subprocessors page for current details.

Are source files private?

Source files stay private unless you choose to share an original with the creative team. Sage may keep a raw source file for a limited recovery period, as described in the Privacy Policy.

How do I delete my account or make a privacy request?

You can start account deletion from Settings, then Account. For a privacy request, email support@sagebriefapp.com. A workspace admin controls workspace content, so Sage Brief may need to involve that admin.

Troubleshooting

Quick checks for sign in, uploads, workspaces, and connections.

I cannot sign in. What should I try?

Enter the email tied to your account and use your password or request a secure sign in link. If you use a password, choose Forgot password to reset it. Check your spam folder and make sure you are using the email that received the workspace invitation.

Sage cannot find my workspace. What should I do?

Check the Workspace ID for spelling and ask an admin to copy it from Settings, then Workspace. If the workspace is paused or no longer accepting requests, contact the team that shared the link.

My file will not upload. What should I check?

Use a PDF or .pptx file no larger than 20 MB. A brief can hold five source files and 50 MB total. Remove password protection, avoid macro enabled PowerPoint files, and try the upload again.

A connected app stopped working. What should I do?

Open Settings, then Connections, and look for Reconnect needed. Reconnect the app, confirm the destination, then try the handoff again. If you are not an admin, ask a workspace admin to update the connection.

The intake link says requests are paused. What does that mean?

The workspace cannot accept new requests right now. Contact the workspace team. A billing owner may need to restore the workspace plan.
